What to include on a video editing invoice
01 · Your contact info & business name
Full name, business name (if any), address, email, phone, and website. This doubles as your professional header and helps clients route your invoice to the right person in their accounts payable system.
02 · Client name & billing address
Bill to the person or entity that actually pays — often different from your day-to-day contact. Confirm the exact billing name before sending; an incorrect name is the most common reason freelance invoices get held up in AP review.
03 · Unique invoice number & dates
A sequential invoice number (INV-001, INV-002…), the invoice date, and the due date. Net 30 is the industry standard for freelance video work. A clear due date removes all ambiguity and gives you a paper trail if the invoice goes overdue.
04 · Itemized deliverables with line-item rates
List each deliverable separately: primary edit, color grade, sound mix, subtitles, additional exports. Bundling everything into one line item is the easiest way to invite scope disputes. Itemized invoices get disputed far less often.
05 · Revision rounds — included vs. extra
Spell out how many revision rounds are included at no charge and your rate for any additional rounds. This single line item prevents the most common scope-creep argument in video post-production and protects you legally.
06 · Deposit / retainer already paid
Show the deposit as a deduction line item. This makes the balance due transparent and prevents clients from questioning why the invoice total differs from the quoted project rate — a surprisingly common source of delay.
07 · Late fee clause
1.5% per month (18% APR) is the industry standard and is enforceable in most jurisdictions. Stating it on the invoice — not just in the original contract — is what makes it billable. Clients who see a late-fee clause on the invoice itself tend to pay on time.
08 · Payment methods & file-release terms
List every payment option you accept so the client has no friction excuse. Include a clear file-release clause: deliverables released upon receipt of full payment. This is your single most important piece of leverage as a freelancer.
